Space Inventory & Occupancy Management
- Maintain accurate space inventory and occupancy records across A*STAR campuses within the Space and Infrastructure Management System (SIMS).
- Update and validate individual occupancy records, including personnel tagging, workspace/laboratory assignments, and changes due to onboarding, offboarding, relocations, reorganizations, and space reallocations.
- Coordinate with research institutes, business units, and project teams to ensure approved space and occupancy changes are accurately reflected in SIMS.
- Reconcile space inventory, floor plans, occupancy, and allocation records to ensure data accuracy and integrity.
- Monitor campus-wide space supply, demand, occupancy, and allocation to support operational reporting.
Space Allocation & Systems Management
- Coordinate and administer space allocation requests in accordance with A*STAR's space governance framework.
- Support space allocation decisions by maintaining accurate inventory and occupancy data.
- Serve as a key user of SIMS, ensuring data integrity and maintaining digital records of space inventory and allocations.
- Prepare reports, dashboards, and analytics on occupancy, space utilization, allocation status, and inventory to support planning and decision-making.
Stakeholder Coordination & Governance
- Liaise with research institutes, corporate offices, facilities teams, and project stakeholders to coordinate space and occupancy updates.
- Provide guidance on space inventory, occupancy management, and allocation processes.
- Ensure space records comply with A*STAR's policies and governance requirements, maintaining complete documentation for audit purposes.
Requirements
- Degree in Facilities Management, Architecture, Engineering, Real Estate, Urban Planning, Business Administration, or a related discipline.
- At least 3 years of relevant experience in space planning, facilities, workplace, campus, or infrastructure management, preferably within the research or healthcare sectors.
- Experience with CAFM/IWMS platforms, space management systems, or digital space inventory tools is an advantage.
- Strong analytical, organizational, and data management skills with attention to detail.
- Proficient in Microsoft Office (especially Excel and PowerPoint); familiarity with CAD, BIM, or space management software is an advantage.
- Good understanding of space utilization, workplace planning, and space management principles.
