Role Summary
The Senior Associate / Associate will provide administrative and operational support to ensure the smooth execution of day-to-day metrology service delivery activities. The role focuses on planning, coordination, customer support, data and documentation management, and process support, ensuring operations are carried out efficiently and in compliance with organisational policies and quality standards.
Job Description
1. Operational & Administrative Support
· Provide administrative support for service delivery activities
· Coordinate logistics, including handling of items, courier arrangements, and goods receipt processes
· Maintain proper records, documentation, and filing in accordance with organisational policies
· Support the organisation and coordination of internal programmes, activities, and training sessions
2. Customer Service & Coordination
· Manage customer enquiries and provide timely and accurate responses
· Monitor and manage shared service communication channels (e.g. email inbox)
· Coordinate customer requests, schedules, and deliverables with internal teams
· Handle customer feedback and follow up on resolution in accordance with established procedures
3. Service Delivery Support
· Support coordination and tracking of service requests and deliverables
· Assist in ensuring service delivery meets internal quality and process requirements
· Support preparation and secure handling of service-related documentation and reports
4. Systems & Data Management
· Process purchase requests and administrative transactions using internal systems
· Support processing of quotations, sales orders, and invoicing workflows using financial systems
· Extract, compile, and analyse operational data for reporting and tracking purposes
· Update and maintain records in job tracking and management systems
· Support digitalisation and process improvement initiatives
5. General & Team Support
· Provide coordination support for team activities, meetings, and operational processes
· Liaise with vendors and internal stakeholders on administrative matters
· Support continuous improvement efforts to enhance operational efficiency
· Undertake other duties as assigned
Job Requirements
Capabilities & Competencies
- Relevant experience in operations, administration, customer service, or service coordination roles
- Strong organisational and coordination skills, with the ability to manage multiple tasks concurrently
- Good written and verbal communication skills for stakeholder engagement and documentation
- Comfortable working with data, systems, and structured processes
- Proficient in Microsoft Office and collaboration tools
- Meticulous, with strong attention to detail and documentation discipline
- Able to work independently as well as collaboratively in a team environment
- Adaptable and responsive to changing priorities, with a proactive approach to problem-solving
- Experience in process-driven or service-oriented environments will be advantageous
