Job Summary

Key Responsibilities

 

Space Allocation

  • Manage and coordinate space allocation requests from research institutes, business units, and corporate stakeholders across A*STAR campuses, including helping to identify suitable space solutions within and outside of A*STAR’s current space inventory that would meet the requestors’ needs, while at the same time ensuring that the processes are in alignment with A*STAR’s space governance framework.
  • Assist in conducting space utilization studies and occupancy assessments to identify optimization opportunities and improve overall campus efficiency.
  • Support space allocation decision-making, including engagement with relevant governance or committee, where required.

 

Space Inventory Management

  • Oversee and validate the accuracy of all space inventory, occupancy data, floor plans, and allocation details with system updates to be supported by the Space and Infrastructure Management System (SIMS) team.
  • Coordinate with Stakeholder to ensure approved space changes from moves, renovations, reorganizations, expansions, and infrastructure projects are accurately captured and communicated with timely updates in SIMS
  • Validate and reconcile space data requirements and allocation information across multiple stakeholders to ensure consistency, accuracy, and integrity of records.
  • Where required, support periodic audits of campus space inventory and occupancy information.
  • Map out the space demand and supply visibility across A*STAR campuses, supported by the digitalized space management system.

 

Systems & Data Management

  • Serve as a key user, ensuring proper maintenance of digital space records and system data quality.
  • Generate reports, dashboards, and analytics related to space utilization, occupancy trends, allocation status, and infrastructure planning needs.

 

Stakeholder Engagement & Coordination

  • Liaise with research institutes, corporate offices, facilities management teams, project managers, and infrastructure planners on space-related matters.
  • Provide guidance to stakeholders on space allocation policies and procedures.
  • Coordinate with facilities and project teams during renovation projects, relocations, and infrastructure changes to ensure accurate space updates and smooth operational transition.

 

Governance & Compliance

  • Ensure compliance with A*STAR’s space management policies, allocation guidelines, and infrastructure governance requirements.
  • Maintain proper documentation and records for all approved space allocations and changes.

 

Continuous Improvement

  • Identify opportunities to improve space utilization, operational efficiency, and user experience across research campuses.
  • Recommend process improvements, automation initiatives, and best practices in space management.
  • Support benchmarking and analysis of space utilization metrics to inform future planning and decision-making.

Job Requirements

  • Degree in Facilities Management, Architecture, Engineering, Real Estate, Urban Planning, Business Administration, or related discipline.
  • At least 3 years of relevant experience in space planning, facilities management, campus planning, infrastructure management, or workplace management, preferably within research, healthcare, education, or large institutional environments.
  • Experience managing space inventory systems, CAFM/IWMS platforms, or digital space management tools will be advantageous.
  • Strong analytical and organizational skills with the ability to manage large datasets and detailed records accurately.
  • Proficient in Microsoft Office applications, particularly Excel and PowerPoint; familiarity with CAD drawings, BIM platforms, or space management software is an advantage.
  • Good understanding of space utilization principles, workplace planning, and facilities operations.
  • Strong stakeholder management and communication skills, with the ability to work collaboratively across multiple teams and manage competing stakeholder demands.
  • Meticulous, self-driven, and able to manage multiple priorities in a fast-paced environment.
  • Experience in research campus, laboratory, or institutional infrastructure environments will be preferred.
