Job Summary

The Manager/ Senior Manager, Grant Administration will play a key role in supporting grant administration functions across the full grant life cycle, including grant management, pre-and post-award activities, research compliance, publication-related processes, reporting, and audit coordination. The role contributes to the smooth administration of research activities by ensuring that institutional requirements, funding guidelines, research output obligations, and compliance requirements are met. The successful candidate should be meticulous, organised, service-oriented, and able to engage effectively with internal and external stakeholders in a fast-paced research environment.

Job Responsibilities

1. Grant Administration
• Support end-to-end grants administration, including pre-award and post-award activities.
• Review grant proposals, budgets, supporting documents, progress reports, final reports, deviation requests, variation requests, and other grant-related submissions.
• Liaise with PIs, grantors, A*STAR HQ, and other internal and external stakeholders on grant-related matters.
• Monitor grant timelines, deliverables and milestones, and proactively flag upcoming deadlines to the team and PIs.
• Maintain accurate and up-to-date grant records and documentation.
• Assist in addressing grant-related enquiries, correspondence, reports, and presentations.
• Support administrative processes and the use of digital tools, automation, and AI-enabled solutions to improve routine research administration workflows.

 

2. Publication Compliance and Research Output Tracking
• Support publication compliance processes, including the review of manuscript submissions through systems or portals.
• Conduct or coordinate checks using tools in accordance with institutional requirements.
• Assist in the tracking and monitoring of publications, research outputs, funding attribution, and compliance with institutional and grantor requirements.
• Support publication and research data management audits, including documentation, follow-up with researchers, and preparation of compliance reports.

 

3. Compliance, Governance and Audit
• Ensure that grant administration activities comply with institutional policies, funding agency guidelines, audit requirements, and research governance procedures.
• Maintain accurate and complete documentation for grant-related documents.
• Support internal and external audits, management reporting, compliance reviews, and follow-up actions.

 

4. Other Duties
• Undertake any other duties assigned by the Reporting Officer.

Requirements

• A good Bachelor degree from a recognised university; candidates with a postgraduate qualification are welcome to apply.
• At least 3 years of relevant experience in research and grant administration.
• Strong written and verbal communication skills, with good stakeholder management and coordination abilities.
• Meticulous, organised, responsive, and able to manage multiple tasks and deadlines independently.
• Strong analytical, problem-solving, and administrative skills.
