Job Description

Role Purpose

Support the long-term operation, maintenance and data accuracy of the Archibus Space Information Management System (SIMS), ensuring alignment between physical site conditions, CAD drawings and Archibus space data

Core Focus

Site validation and audits, CAD drawing maintenance, Archibus drawing and space data updates, and technical coordination with facilities and laboratory stakeholders.

Key Responsibilities

1. Site Validation & Space Audit

  • Conduct site inspections and periodic audits to verify room layouts, space usage, workstations, laboratory areas and other relevant space information.
  • Identify discrepancies between actual site conditions, drawings and Archibus records, and coordinate corrective updates.
  • Validate changes arising from renovation, fit-out, reinstatement, moves or operational changes.

2. CAD Drawing Management

  • Maintain and update architectural and space-management CAD drawings used for Archibus.
  • Update room boundaries, room numbers, workstations and layouts following approved physical changes.
  • Review as-built and project drawings, maintain drawing standards and revision records, and prepare drawings for Archibus use.

3. Archibus Drawing & Data Maintenance

  • Update Archibus floor plans and associated room, workstation and location information.
  • Ensure CAD drawings and Archibus data remain aligned and perform quality checks before publishing updates.
  • Support resolution of drawing, location and space-data discrepancies with the Archibus team.

4. Technical / Lab & M&E Coordination

  • Support validation of laboratories, cleanrooms and technical facilities, including relevant equipment-layout information.
  • Interpret architectural and M&E/building-services drawings where they affect room configuration or space records.
  • Coordinate with FM/Lcam, laboratory users, project teams and other stakeholders to confirm technical information.

5. Project Handover & Ongoing Maintenance

  • Review space-related project handover and as-built documentation before incorporation into Archibus.
  • Conduct site verification where required and follow up on missing or inconsistent information.
  • Support ongoing post-go-live drawing updates and maintain audit, validation and change records.

Preferred Experience & Requirements

  • Diploma or Degree in Architecture, Interior Design, Facilities Management, Building Services, Engineering, Built Environment or a related discipline.
  • Strong AutoCAD skills and experience working with architectural, interior design or technical drawings.
  • Experience with Archibus, BIM or another CAFM system is preferred.
  • M&E/building-services, laboratory, cleanroom, research, industrial or technical-facility experience will be advantageous.
  • Able to conduct site surveys, interpret drawings, maintain accurate records and coordinate independently with multiple stakeholders.
  • Detail-oriented with strong data accuracy, documentation and problem-solving skills.
  • Site Validation experience; M&E, laboratory, cleanroom or technical-building experience is advantageous.
