Role Summary

Responsibilities

  • Provide essential administrative and operational support to ensure the seamless execution of daily activities and centre events. This includes proactively addressing operational needs and collaborating closely with other team members to facilitate successful outcomes.
  • Organise logistics for meetings, workshops, and company events, ensuring that all plans and required resources are prepared in advance.
  • Conduct daily checks on meeting rooms, offices, and pantries to maintain cleanliness and orderliness. Responsibilities include restocking supplies, refilling vending machines, and making certain that office supplies, stationery, and pantry items are always adequately available.
  • Keep inventory records up to date and place orders for supplies as needed. This includes monitoring stock levels, maintaining accurate records, and ensuring timely replenishment of essential items.
  • Oversee access card applications and system for premise security.
  • Oversee IT equipment processes during onboarding and offboarding. This involves managing the allocation and retrieval of devices and ensuring all equipment is properly tracked.
  • Ensure timely renewal and performance review of all term contracts; initiate new terms when applicable.
  • Drive continuous improvement initiatives for administrative support (e.g. automation)
  • Provide backfill for the receptionist during office hours.
  • Liaise with vendors for quotes and service delivery, applying procurement best practices.
  • Support Corporate Services and HSE initiatives, including staff welfare matters, campaigns and communications.
  • Take on additional tasks as assigned, showing adaptability and a commitment to growth

 

Job Requirements

  • Minimum qualification: Diploma in a related field. At least 5 years of experience in office administrative or operational or similar role.
  • Willingness to occasionally work outside office hours.
  • Ability to break down tasks and provide realistic timelines.
  • Communicates effectively and interacts well with others.
  • Skilled in using MS Office and various collaboration tools.
  • Self-driven, meticulous, able to multi-task and work independently and as part of a team.
  • Adaptable and able to respond to shifting priorities.
  • Demonstrates an eagerness to learn new skills and technology.
