Associate (Records Management)
Job Purpose
We seek an energetic and dynamic individual to support the development and maintenance of A*STAR’s document archive, ensuring timely access to information and the development of a robust knowledge base, while supporting the implementation and maintenance of records management systems that comply with statutory requirements, organizational policies, and IM4L standards.
Job Responsibilities
- Organise, classify, and maintain records in all formats in accordance with A*STAR policies and SOPs as well as IM4L and other relevant regulatory compliance standards.
- Monitor and track inventory of physical files containing classified records and facilitate the timely retrieval and transfer of such records while ensuring proper access controls are in place.
- Assist in monitoring adherence to records management policies, regulations, and retention schedules.
- Ensure accuracy and completeness of records through regular audits and updates.
- Provide administrative and operational support for records-related initiatives, including digitisation and system upgrades, billing and invoicing, outreach and engagement, etc.
- Respond to internal requests for information promptly and professionally.
Requirements
- Minimum Diploma in Information Management, Library Science, Business Administration, or a related discipline; applicants from other disciplines and fresh graduates are also welcome to apply as comprehensive training will be provided.
- At least 1–2 years of experience in records management, information governance, or administrative support (fresh graduates with relevant internship experience may be considered).
- Ensures accuracy in record classification and data entry for records of all formats i.e. digital physical, media, audio, etc.
- Understands and applies IM4L as well as all other relevant statutory and regulatory requirements.
- Structures and categorises records for quick access.
- Proficient with electronic records systems and MS Office.
- Communicates professionally with customers and stakeholders.
- Manages confidential data responsibly.
- Works well in teams and supports group objectives.
- Adapts quickly to process and technology changes.
