Job Description
The Associate, Systems & Operations Support will be part of a team that supports key innovation and enterprise management systems. Working alongside experienced colleagues, the officer will contribute to the smooth administration of systems, data records, user support, compliance checks, and operational monitoring for licensing and research collaboration activities.
This role offers exposure to system operations, data quality management, process compliance, and stakeholder coordination within the innovation and enterprise ecosystem, while providing opportunities to develop practical skills in operations support, reporting, and process improvement.
Key Responsibilities
1. Customer Relation Management (CRM) System Administration & Support
- Troubleshoot and resolve user access and account-related issues.
- Process and manage user account creation, modification, and termination requests.
- Support the team in the entry and maintenance of complex deal records, including multi-RI and multi-collaboration agreements.
- Conduct data quality reviews to ensure account and customer information maintained in CRM is accurate and complete.
- Assist users with basic system enquiries and coordinate issue escalation where necessary.
2. Technology Transfer and IP Management System (TTIMS) Administration & Data Management
- Perform data completeness checks for secured license agreements and related records.
- Update license status information, including expired agreements and other lifecycle changes.
- Process and manage TTIMS user account requests.
- Support ongoing data management activities, including data updates, corrections, archiving, and record deletion in accordance with approved procedures.
- Ensure information stored within TTIMS remains accurate, complete, and up to date.
3. RCA & Deal Administration
- Review signed Research Collaboration Agreements (RCAs) to verify the accuracy of key information entered into CRM.
- Perform compliance checks on secured RCA records and supporting documentation.
- Maintain proper documentation and records in accordance with established policies and procedures.
4. License Administration & Compliance Monitoring
- Review executed license agreements and extract relevant financial terms for entry into TTIMS.
- Perform compliance checks on secured license agreements to ensure completeness and adherence to internal requirements.
- Track and monitor license payment milestones and obligations.
- Monitor sales reporting requirements and trigger requests to licensees when reports become due.
- Follow up on outstanding payments through direct communication with licensees or in collaboration with Tech-Biz Officers.
- Support periodic reporting and operational reviews relating to licensing activities.
5. Data Quality & Process Support
- Conduct routine checks to ensure the accuracy, completeness, and consistency of system records.
- Assist with data cleanup and remediation exercises.
- Support audit preparation and information verification activities.
- Contribute suggestions for process improvements to enhance data quality and operational efficiency.
Requirements
Qualifications
- Diploma in Business Administration, Information Systems, Data Management, Finance, or a related discipline.
Experience & Skills
- Strong attention to detail and accuracy in handling data and documentation.
- Experience in administrative, operations, or data management work is an advantage.
- Comfortable working with enterprise systems and databases.
- Good analytical and problem-solving skills.
- Proficient in Microsoft Office applications, particularly Excel.
- Familiarity with analytical and reporting tools such as Power BI, data dashboards, or other data visualisation tools would be an advantage.
- Ability to manage multiple tasks and meet deadlines.
- Strong written and verbal communication skills.
- Ability to work independently as well as collaboratively with internal stakeholders.
