Role Summary

General Administration

  • Coordinate external and internal meetings for RDO management 
  • Enter data and compile information regarding research collaborations, agreements, business visits, fellows, joint appointments, awards received by staff, manpower intern and attachment, and other research documentations 
  • Compile RDO monthly calendar, such as visits, engagements, IP, and grant activities, for reporting to management with information from other team members 
  • Record, issue, collect, safekeep, and order laboratory notebooks for researchers and technical staff 
  • Raise and verify purchases made by RDO staff 
  • Monitor RDO admin mailboxes 
  • Be point of contact for general enquiries from staff, A*STAR community, and public 

 

Manpower – Student Matters (Interns and Student Attachment)

  • Liaise with S&A supervisors, A*STAR Graduate Academy, and local Institutes of Higher Learning to input internship project proposals and other administrative matters. 
  • Facilitate approval from management for research student’s conference applications, thesis- and supervisor-related matters, and other student-related matters. 
  • Create quarterly internship calendar for regular updating to divisions. 
  • Identify and review potential improvements to existing processes in manpower student internship and attachments. 
  • Liaise with other departments within the institutes for student onboarding and exit. 
  • Be point of contact for Student Matters in SIMTech and ARTC.
  • Own, update and maintain student database including troubleshooting and updating of approval workflows

 

Engagement Support 

  • Provide logistics support for hosting visits, which include but not limited to securing and preparing meeting room, laptop, AV, name tent, and reserved carpark. 
  • Liaise with receptionist to pre-register visitors and prepare visitor passes. 


Cover other RDO job functions, as required 

  • Support TD/publication/grant database and report 
  • Support digitalisation, dashboards and process automation workflows for RDO related approvals.  
  • Support RDO activities, catering and other task as required 

 

Education Qualifications

  • Diploma or degree in administration or science or engineering

  • Able to work with multiple stakeholders, internal and external
  • Meticulous and attention to details
  • Good command of Microsoft Words, Excel, PowerPoint, Office, and SharePoint
  • Good communication, interpersonal and stakeholder engagement skills
  • Able to deliver results under tight timeline
  • Good analytical and problem-solving skills
