The Assistant Manager/ Manager provides strategic, high-level executive and administrative support to the Office of SIgN and secretarial support to the Executive Director. The role is critical in enabling effective governance and operational oversight by ensuring the Executive Director?s engagements, communications, and priorities are managed efficiently, professionally, and with strict confidentiality.
Key Responsibilities
- Provide comprehensive executive support to the Executive Director, including complex calendar management, prioritisation of engagements, and coordination of high-level meetings
- Liaise with internal stakeholders (e.g. PIs, Group Leaders, departments) and external parties on routine administrative and meeting-related matters
- Support in planning, tracking, and monitoring key institutional priorities, action items, and follow-ups
- Prepare briefing materials and presentations.
- Provide secretariat support for management meetings, including coordination of papers, agenda management, and minutes-taking.
- Coordinate local and overseas travel arrangements, including flights, accommodation, itineraries, visa arrangements, and claims in accordance with A*STAR policies
- Provide support in organising visits, official functions, workshops, and events.
- Assist with administrative processes such as procurement requests, claims, and approvals in compliance with A*STAR guidelines.
- Support Executive Director?led projects, initiatives, and ad-hoc assignments as required
Requirements
Qualifications & Experience
- Diploma or Bachelor's degree in Business Administration, Management, or a related discipline
- Minimum 3 years of experience in executive support roles, preferably supporting senior management or executive leadership
- Prior experience in the public sector, research institutes, academia, or large organisations with governance structures is strongly preferred
Skills & Competencies
- Strong organisational, planning, and stakeholder management skills
- Excellent written and verbal communication skills, with the ability to draft and edit high-level correspondence and reports
- High level of discretion, integrity, and professionalism in handling confidential matters
- Proficiency in Microsoft Office applications and enterprise collaboration platforms
- Ability to work independently, anticipate needs, and exercise sound judgment in a complex operating environment
