Innovation & Enterprise Group ("I&E") at A*STAR, Singapore is responsible for the commercialization and technology transfer of A*STAR?s technologies to external companies that are ready for market adoption. I&E is the external facing arm of A*STAR and go-to group for all matters related from initial negotiations to post-project services for key accounts. Digital Solutions and Services (DSS) and Retail and Hospitality (CRH) industry clusters are two of the nine industry clusters responsible for pipeline in the respective sectors.
Job Responsibilities:
General Administrative and Clerical Support

Assist with Administrative and Clerical Support for the DSS and CRH Industry Clusters

Arrange and coordinate meetings and update above-mentioned Industry Cluster Directors' and Executive Director's calendars ((including the meeting material shared by other JO or secretariat)

Work with various RI, Council and HQ Divisions' Personal Assistants (PA) and Secretariats to schedule appointments and meetings
-
Any other administrative duties assigned by above-mentioned Industry Cluster Directors

Schedule meetings for the team and prepare the necessary logistics
-
Prepare materials or other regular reports and notes for meetings
-
Coordinate, record and maintain notes for meetings
-
Collation and preparation of data for reporting purposes

Conduct or prepare research that the teams may require

Assist in the procurement and admin activities such as pre and post travel arrangement
-
Upkeep of office inventory and facilities
-
Assist with procurement and goods receipt by liaising with vendors for purchase and payment, finding relevant vendors and getting quotations when necessary
Collation / tracking of data and Event Management

Assist with the collation of and tracking of data for industry cluster team
-
Ensure that the database is updated in a timely and accurate manner

Assist in the establishment and maintenance of a data repository / share point sites and IT related matters/procurements

Provide event management support

Assist in the organization of visits, conferences and other events
Others
Requirements:

Possess at least a Diploma or 'A' levels in any relevant discipline
-
Relevant experience in administrative support and/or Personal Assistant

Strong work ethics and professional discretion

Excellent organization skills and ability to prioritize work

Excellent written and verbal communication skills
-
Proactive, independent and able to multi-task with well-developed time management skills

Proficiency in computer applications such as Adobe and MS Office (MS Excel, MS PowerPoint and MS Word, in particular)

Demonstrated efficiency in delivering outcomes
