The Talent Management and Development team of the A*STAR Graduate Academy (A*GA) awards scholarships to local and international talents at multiple entry points ? undergraduate, PhD and post-doctoral and aims to develop scholars to their full potential.
We are seeking a resourceful and energetic individual who is passionate about developing future generations of Science and Technology talent to be part of the International Awards team. You will work with internal and external stakeholders on the smooth administration and monitoring of international awardees pursuing their PhD education in Singapore. You may be involved in other A*GA-wide duties from time to time.
Responsibilities:
- Recruitment of students under the Singapore International Graduate Award (SINGA)
- Be point-of-contact with local university partners and overseas scholarship partner as the SINGA Coordinating Office
- Coordinate and oversee the processing and shortlisting of applications
- Plan interview schedules with interview panels and candidates
- Track offers made and ensure database is updated
- Manage the online application system
- Prepare materials and briefings for the onboarding of awardees
- Attend to enquiries from candidates, supervisors and universitie
- Manage engagement of international awardees from undergraduate, Masters to PhD level
- Organise welcome briefings and engagement sessions between international awardees and A*STAR
- Organise career clinic for PhD awardees with Executive Director, A*GA
- Arrange one-on-one sessions with awardees on an ad-hoc basis to discuss issues, if any
- Arrange administration and logistics including budget memo, venue booking, registration and catering
- Monitoring of SINGA awardees
- Ensure submission of TAC and progress reports at least once a year, and semestral results and CV twice a year
- Track PhD progress, QE status and thesis submission
- Generate statistics and reports
- Put up memos for approval, such as request for leave of absence
· Other duties
o Secretariate for A*GA meetings including confirmation of agenda and minutes/notes-taking
o Organise call for PhD supervisors and projects twice a year
o Ensure information on international awards on A*STAR website is up-to-date
o Be assigned as personal assistant to A*STAR management, if required
Requirements:
· Preferably with 5 to 8 years of admin experience
· Proficient in MS Office applications, such as Word, Excel and PowerPoint and embrace technology
· Ability to learn and operate a bespoke onboarding system
· Self motivated who is meticulous and well-organised
· Pro-active, quality conscious, attentive to details and results-oriented
· An excellent team player who is resourceful with good communications and interpersonal skills
